Updated on: Apr 12, 2022

As an adult, we can look back when our parents threw us a birthday party that we remember till this day! Giving your child an experience that they will always treasure is better than just buying them a gift. Our kid’s birthday party checklist can help you create a memorable experience for your child on their special day.

Below we provided a step-by-step guide on how to plan a kid’s birthday party with our checklist template. We will take you through all of the steps needed in creating your own specialized checklist that will help you budget your time and reduce your worries!

1. Automatic Timeline

How long does it take to plan a kid’s birthday party, you ask? We believe that no fixed time frame will work for everyone. Since everyone has their own specific situations and timeframes we created a checklist that will help you countdown the days till your kid’s birthday party.

If your child's birthday is on a weekday, it may be too difficult to schedule a party that all of their friends can come to. It would be better to choose a weekend where parents will be free and it will not interfere with the children's education. Just add the day you're starting to plan the birthday party, along with what day you’ll be holding it, and each task included in the worksheet will get an assigned due date! Adding the dates to your kid's birthday party checklist, will help you plan and make sure you have everything taken care of in time for creating a memorable experience for your child.

2. Visual Indicator

Our template is formatted to help you easily see what tasks need to get done, and which should have higher priority. This will help you keep track of tasks on your kid's birthday party checklist so you don't miss any of the small details!

  • Find the perfect local bakery? Check the box in the row for choosing a venue, and it will turn green. This helps you visually spot which tasks are still outstanding.
  • Did you get caught up with your busy schedule? If you start to approach a due date, it will turn yellow. If it passes without completion, it will turn red. This will help you prioritize tasks.

3. Shareable!

Are you planning with your child's friend’s parents? Share the template with whomever you wish via Google Drive. Everyone will be on the same page, in real-time! Multiple people can edit at the same time which will make it more efficient to complete tasks on your kid's birthday party checklist.

4. Helpful Links

The template doesn’t just help you plan your time, it connects you with great resources in a single click.

  • Want to survey your other parents to find the best time to hold the birthday party? Links to useful websites and apps are included.
  • Want to find the best jump house? Easily find every service - from venues and caterers to DJs and decorators - you need in one place.
  • Budgeting is a huge part of party planning. It doesn’t need to be difficult, though! Just use our budget worksheet, created just for your birthday planning needs! A link to this sheet will be included in the checklist.

5. Customizable Kid’s Birthday Party Checklist

This is no generic planning guideline that will result in a fun birthday party for your kid. So instead we provided some suggestions for tasks that will help you plan the best birthday party for your child!

Choosing a Theme

Make a theme that resonates with what your child likes or is interested in. For instance, if they want a specific cartoon, you could consider setting that as the theme.

Create a List of Guest

After setting the date and time, you should now work on the guest list. It would be better for your child to help with the guest list. The reason being that it is their birthday party, not yours.

Create Invitations

After you and your child have generated a list of guests, you should create invitations. You should include your contact information in the invitation so the parents of your child's friends could contact you if their child can come over on that day. Once you have the invitations finished, you should ask your child to disperse them to his friends.

Create a List of Party Supplies

Make a list of party supplies that match the party's theme. If the theme is based on a cartoon series your child likes, you can get plates, napkins, posters, and table cloth with the cartoon theme. Also, don't forget to get streamers and confetti poppers. Also, you should consider renting a trampoline, which is a must-have at any kid's birthday party.

Pre Order a Cake

Find a local bakery that can make customized cakes. You should show them a picture of what you want to have on the cake and if they can do it. You should also see if you can sample different types of cakes they make.

Games & Activities List

The Nintendo Switch is one of the most popular games for kids. You should buy multiple controls and find games with multiplayer options. This will reduce the chances of kids fighting for a turn at playing. Another option will be board games such as Monopoly or Candyland. Some activities are baking, twister, or telephone, which can also be played by many people.

Create a List of Food & Snacks

You should consider what the kids will like to eat and if you have the time to make the food. If you have limited time, you should consider ordering pizza and wings. However, if you have the time, you might want to consider making food convenient for the kids to eat like hamburgers, hotdogs, or tacos. You should also consider what snacks to buy like desserts, candy, and chips.

Shopping for a Kid's Birthday Party

A week before the event will be the optimal amount of time in most cases to buy what you need. Most party supplies can be purchased off of Amazon and will reach your how in a few days. If you need to make the food, you should shop for groceries a few days before rather than at the start of the week.
